Notifications & Personal Tasks
The bell, your profile badges, and My Action Items
The notification bell
Top-right corner, next to your name. It's a feed of things that have happened to you specifically — you were assigned something, added to a meeting, flagged on an inspection, or a record you're on changed status.
What separates its two tabs
Not whether you've clicked it — whether the thing it points to is actually done.
- Needs Action — the underlying record is still open: an action item that isn't completed, a certificate that hasn't been renewed, a policy that isn't re-acknowledged. It stays here even after you've read it, until the record itself resolves.
- Cleared — either the record resolved on its own (someone completed the action item, the cert got renewed), or it was a purely informational notice with nothing to complete, which clears the moment you open it.
Clicking a notification always takes you straight to the record it's about — the incident, the meeting, the action item — never just to a generic list.
The Notifications page
Tap See all notifications at the bottom of the bell to open the full page. It sorts everything into three tabs: Needs you (something to act on), Reminders (something coming up) and Updates (for your information). Every item says in one line why you got it, and opens the record itself. Needs you keeps an item until the thing is actually dealt with — completing the task, renewing the ticket — not just until you open it; finished ones move under Recently done. How I'm told, at the top, opens your email settings.
Supervisors: your crew's expired tickets and overdue tasks show on the Direct Reports card on your Overview, next to each person, rather than as extra notifications to you.
Choosing how you're told
Edit Profile → Notifications. Instead of a long list of every notification type, there are eight groups: Safety events, My tasks, Tickets & training, Things to read & sign, Meetings & reminders, Reviews & sign-offs, Reports, and Account & security. Tick Email on a group and every notification in it is emailed to you too; tick as many as you like, then press Save all once.
- In app is always on — everything still lands in the bell, so nothing can be missed completely by switching email off.
- Account & security emails (password or email changes, someone viewing the app as you) can't be switched off.
- Text messages aren't available yet, so there's no Text column. It will appear once texts can actually be sent.
- Every optional email has an Unsubscribe link at the bottom. It works without signing in — handy for someone who gets scheduled reports but has no Fieldtec login. Security notices keep coming either way.
The Needs you list on your Overview
The top of your Overview shows only what's waiting on you right now — expired tickets, tasks past due, courses to finish, policies or documents to sign, unread notices, and unread meeting or observation reminders from the last week. Each row opens the thing itself; when only one item is waiting, it goes straight to that item. When nothing is waiting, it says so in one line.
Profile menu badges
Click your name, top-right. On the personal side, Overview sits on its own at the top, then Report (report an incident or an observation), then your own things — My Assets, My Action Items, My Certificates, and so on. The admin side is laid out the same way, with Overview on its own at the top. Some of your own items carry a small red number.
That number is a count of things in that specific section needing attention — an overdue inspection under My Assets, an open task under My Action Items. No number means that section is clear right now, not that the page is empty.
My Action Items
A task with your name on it and a due date — almost always raised because something else happened, not typed in from scratch.
Where they come from
Nearly every module can raise one against a real finding, so the item always points back to why it exists:
- Incident — a corrective action from an investigation.
- Inspection — a finding from the Inspections module's own checklist forms (not an equipment check — see "How equipment inspections, Defects and Work Orders fit together" for that).
- Hazard assessment — a control raised from a daily check.
- Form — a "No" answer that needs following up.
- Meeting — carried forward until it's closed.
- By hand — an admin raises one directly.
Open the item and its source is always one click away — the exact incident, inspection, or form answer that raised it.
How the due date is colored
This scale is shared across the whole platform, so a color means the same thing everywhere you see it:
Completing one asks what was actually done — a short comment, or a bulletin it was resolved by — so the record shows how it was closed, not just that it was.
