Who we are

Fieldtec Compliance is operated by DW Safety Solutions (legal entity to be confirmed), doing business as Fieldtec Compliance ("Fieldtec", "we"). This policy covers our website and the Fieldtec application.

Two kinds of information

Your company's records — incidents, inspections, certificates, forms, and the workers named in them — belong to your company. Your company decides what goes in, and we handle it only to provide the service, under our Data Processing Agreement. Requests about those records (for example, a worker asking to see their own file) go to the employer first; we help them answer.

Our own information about the people who use Fieldtec — account names, email addresses, sign-in activity, billing contacts, support conversations, and website visitors — is covered by this policy directly.

What we collect and why

  • Account details (name, email, company, role) — to create your account and let you sign in.
  • Records your company enters — to provide the service your company subscribed to.
  • Usage and security logs (sign-ins, errors, which records were opened during a support session) — to keep the service secure and working.
  • Billing contacts and invoices — to bill your company. Card details go straight to our payment processor.
  • Messages you send us — to answer them.

We do not sell personal information, and we do not use your company's records to advertise to anyone.

Where it is stored

Your company's records are stored in Canada (Supabase, Canada Central region). Some services we use are in the United States — for example, notification emails pass through our email provider in the United States. Those services are listed on the Subprocessors tab. Information handled in another country is subject to that country's laws.

Cookies

We use only the cookies needed to keep you signed in and to remember settings like language and theme. We do not use advertising or analytics trackers. If that ever changes, we will update this policy and ask before setting any non-essential cookie.

How long we keep it

While your company subscribes, we keep its records for as long as your company keeps them in Fieldtec.

If your company cancels, its account becomes read-only for 90 days so everything can be exported, and is then permanently deleted. Deleted information can remain in our backups for up to 90 more days before those backups expire.

Keeping safety records for any period the law requires after you leave Fieldtec is your company's responsibility — which is why the export window exists.

Who can see it

Each company's records are visible only to that company's own users, according to the roles it assigns. Fieldtec staff open a company's records only through a support session linked to a request, which appears in that company's activity history.

Your rights

You can ask to see, correct, or delete the personal information we hold about you, or withdraw consent where we rely on it, by writing to privacy@fieldtec.ca. We answer within 30 days. If you are not satisfied, you can complain to the Office of the Privacy Commissioner of Canada or your provincial privacy commissioner.

You can turn off notification emails from Edit Profile → Notifications, or with the unsubscribe link in any email. Account and security emails (password and email changes, support access) cannot be turned off.

If something goes wrong

If personal information is exposed or lost, we will tell the affected companies within 72 hours of confirming it, with what happened and what they should do, and report to the Privacy Commissioner where the law requires.

Changes to this policy

We will email each company's Super Admins at least 30 days before a material change takes effect.
